Wedding planning doesn't fall apart because of the big decisions. The venue gets booked. The dress gets found. What actually causes the 11 p.m. panic is the forty small things that live in different places: a deposit mentioned in an email thread, a guest count in a text message, a vendor's balance due date written on a sticky note that no longer exists.
The fix isn't a bigger binder. It's one system where money, people, vendors and deadlines sit together β because in a wedding, they're all the same problem.
Start with the budget, but track it the right way
Most couples set a total budget and then track what they've spent. That's backwards. By the time "spent" looks scary, the money is already gone.
Track three numbers per category instead:
Estimate β what you plan to spend (venue, catering, photography, flowers, music, cake, attire, ringsβ¦)
Actual β what you agreed to pay, the moment you sign
Balance β estimate minus actual, updated automatically
The balance column is the whole trick.β¦
